How to Edit a Form

Editing the Forms on your Website

Digital PTO offers a wide variety of Pre-Built Forms for our Premium Members. Our Premium Plus Members have access to even more forms. This tutorial will cover the basics of editing one of your web forms. If you are not a Premium Member you will not see the FORMS menu in your admin panel.

Note: If you are collecting credit card payments directly on your forms you will need to refer to the Wufoo Documentation Instead.

Step 1: Click on the Title of the Form you wish to Edit

Go to FORMS > FORMS to open a list of all of your forms. Click on the Title of the Form you wish to Edit.

Step 2: Click on Any Field to Edit it

To EDIT any field on your form, click on the field and it will expand for editing.

Step 3: Edit Field as Desired

When the editor opens up, you have a number of options. The two most used options are FIELD LABEL and REQUIRED. The Field Label is the question, or request you have for the visitor to your form. For example “What is your favorite color?” or “Home Phone Number”. The Required checkbox will make this field a required input before your visitor can submit the form. When you are finished with editing the field, click the CLOSE link to shrink the field back down to it’s regular size.

Please note that different fields will provide different options. If you are editing a field with a drop down for example, you will see your drop down options as well.

Duplicating a Field

If you wish to make a copy of a field already on your form, click the DUPLICATE link when the field is expanded.

Deleting a Field

If you want to delete a field from your form, that can be achieved by clicking the small DELETE link in the top right corner of any field that is being edited.

IMPORTANT NOTE: If you delete a field that has data that has been submitted to it, that data will also be deleted. For example, if you were collecting phone numbers from parents and then delete that individual field later on your form, those previous phone numbers you collected will be deleted as well. Use caution when deleting field data as it can no be undone. It is best to HIDE a field (described below) if you do not wish to delete previously submitted data.

Hiding a Field from the User

If you want to HIDE a field from your form (instead of deleting all the data from that field) you can do so by clicking on the ADVANCED tab and then changing the Visibility from Everyone to ADMIN ONLY. This will allow you to keep any previously submitted data but will no longer show the field to your visitors. You can unhide a field as well by switching it back to Everyone.

Making a Field Required

If you have a field that you want the user to fill out (it is required) before they are allowed to submit the form, look for the REQUIRED checkbox at the bottom of the field editor. Checking this box will not allow the user to submit a form until the field has been completed. This is not available on all field types, but is available on the majority.

Moving a Field Around on your Form

If you would like to change the order of your fields, simply hover over the field you want to move and it will turn blue. Then Click and Drag the field up or down on the form. When you have field where you want it, release your mouse button. Tada!

Add a New Field to your Form

If you would like to add an additional field to your form, that can be achieved on the right side of your screen. There are four main types of fields, but you will probably use STANDARD FIELDS and ADVANCED FIELDS most frequently. You may also see POST Fields and PRICING Fields.To switch between the field categories, click the name of the category and the box will open. When you know what kind of field you want to add, simply click the field and it will be added to the bottom of your form. At that point, you can edit the field to meet your needs and move the field around on the form if you want to change its placement.

Standard Fields: Single Line Text

The Single Line Text Field allows you to create a line that the user can input short text into. The most common thing to edit with this field is the Field Label (Title) of the line of text.

Standard Fields: Paragraph Text

The Paragraph Text field creates a bigger input box that is best for messages and longer blocks of input text. The most common thing to edit with this field is the Field Label (Title) of the Paragraph Text.

Standard Fields: Drop Down

The Drop Down field creates a Drop Down Menu. Be sure to edit the Field Label (Title) as well as the drop down options (Choices). New options can be added by clicking the PLUS sign and options can be deleted by clicking the MINUS sign.

Standard Field: Checkboxes

The Checkboxes field allows your users to select more than one option (i.e. check all that apply). Be sure to edit the Field Label (Title) as well as the check box options (Choices). New options can be added by clicking the PLUS sign and options can be deleted by clicking the MINUS sign. 

Standard Fields: Radio Buttons

Radio Buttons are very similar to the Check Box Field, with one exception. The User can only select ONE option at a time. Be sure to edit the Field Label (Title) as well as the radio button options (Choices). New options can be added by clicking the PLUS sign and options can be deleted by clicking the MINUS sign. 

Standard Fields: Section Break

The Section Break field allows you to create a “break” in your questions and provide some further information. This is a good way to break up long forms with things like “User Information”, “Student Information” “Class Selections” etc. It’s purely visual and organizational.

Standard Fields: Page Break

The Page Break field is another good way to organize long forms. Adding a Page Break field will create a multiple page form. It will add a “Next Page” and “Previous Page” button for your visitors. You can have unlimited page breaks depending on your needs.

Advanced Fields: Name

The Name field will create a First and Last Name entry field.

Advanced Fields: Address

The Address field will create a full address entry form. There are many customization options including the ability to pre-define the State.

Advanced Fields: Email

The Email field will give you a basic text field, but will ensure that the email entered is in the correct format (i.e. [email protected]) You can also enable Email Confirmation and have your users type their email address twice.

Advanced Fields: File Upload

the File Upload field allows your users to upload a file with their submission. It also allows you to limit exactly what types of files can be uploaded, for example if you want to allow users to submit an image you can limit the file type to the most common image types (gif, jpeg and png)

Additional Fields and Options

Our Form System is extremely powerful. We have covered most of the basic functionality, but there are still a number of fields and options available that we do not cover. Please feel free to play around with any of these additional fields. Our forms are designed by Gravity Forms.
